Administrative Assistant- Office of Admissions
Job Summary
Under the guidance of the Associate Vice President of Admissions and direction of the Associate Director of Admissions and Manager of Admission Operations, the Administrative Assistant- Office of Admissions serves as an initial point of contact for visitors, callers, and emails to National University of Health Sciences. The Administrative Assistant serves as the “face” of the Office of Admissions and is relied upon to provide timely and accurate information while collaborating with colleagues on various tasks and projects. Crucially, the Administrative Assistant exhibits student centeredness in the performance of all job duties.
Responsibilities
- Collaborate with all teams, colleagues, functions and activities related to inquiries, materials requests, tracking and reporting, application and data processing and imaging, communications (incoming and outgoing calls, emails, and mail), credentials evaluation, admission decision-making, transfer credit, outreach, recruitment/marketing, and pre-enrollment/yield activities, including events, programs, and tours.
- Greet visitors to the office; answer and/or transfer incoming calls received on the main University and admission lines; track contacts and visitors; distribute and respond to emails; serve as a host for visitors registered for daily arranged or group tours and walk ins for self-guided tours.
- Provide, encourage, and ensure exemplary customer service, across all delivery methods, as well as the accurate and efficient use of computer systems and technology in processing, evaluating, decision-making, and imaging, recruiting/marketing, communicating, and reporting.
- Perform various administrative activities, such as making copies, building binders/files, couriering mail, picking up items, gathering materials, opening, and processing mail, scanning and indexing documents into imaging, preparing and delivering communications, making calls, arranging rooms for meetings, arranging for mail deliveries to and pick-ups from admissions, processing orders and vouchers/invoices, performing data and document processing and imaging, and more.
- Perform various data entry, integrity, imaging, and analysis functions, efficiently and accurately, according to applicable training, documents, and guidelines.
- Assist with campus events, programs, and tours/visits planning/setup as needed.
Qualifications
Required
- High School Diploma or equivalent.
- At least 2 years of direct customer service experience, using all modes of communication.
- Experience with operating standard office equipment and software.
- Able to perform duties independently with general supervision.
- Ability to work and communicate effectively in a fast-paced and diverse environment.
- Demonstrate effective, professional oral and written communication skills and interpersonal skills.
- Great attention to detail and responsiveness
- Ability to build positive relationships with students and colleagues.
- Able to organize work, manage interruptions and multiple projects, engage in a variety of tasks simultaneously, and consistently meet deadlines.
Preferred
- Experience with SalesForce CRM
Normal hours are Monday through Friday 830-5pm (On-campus) with weekends and/or evenings as needed.
