Job Summary

The Administrative Assistant to the Dean of Clinics and the Dean of Research provides general administrative support to the Deans. This is an integral role within the university providing assistance to internal and external constituents.


  • Greet students, employees and other visitors as they enter the office.
  • Answer phones, schedule meetings, open, sort and distribute mail.
  • Type, copy/scan and file correspondence/reports and transcribe minutes.
  • Make travel arrangements as assigned.
  • Process requisitions and payments as assigned.
  • Oversee inventory for the clinic dispensary and order supplements (IL), maintain inventory database.
  • Order office and clinic supplies.
  • Inventory consumables and therapeutic equipment.
  • Maintain documentation of intern activities relative to attendance, assignments, quantitative tallies, weekly reports and final intern reports.
  • Coordinate EHR training for employees and students and work with the EHR vendor.
  • Coordinate OSHA training for faculty, staff and students and ensure compliance and update Bloodborne Pathogens Exposure Control Plan, as needed.
  • Coordinate and process preceptorship applications for doctors and interns.
  • Maintain and ensure accuracy of information listed on CygNet Clinical Info course webpage.
  • Be familiar with Research Process (Research Committee, IRB/IACUC, grant proposals, journal submissions) to better assist and direct questions from both internal and external sources.
  • Other duties as assigned



  • Maintain confidentiality of all Dean-related matters and documents.
  • Excellent people and organizational skills.
  • Must be able to multi-task and have strong attention to detail.
  • Minimum of 1-2 years of administrative assistant, clerical and/or secretarial experience.
  • Typing skills of at least 50 WPM with a high proficiency in Microsoft Office Applications (Word, Excel, PowerPoint, etc.).
  • Excellent oral and written communication skills.
  • High school diploma or equivalent.
  • Professional appearance and demeanor.


  • A familiarity with higher education administrative environment.
  • Demonstrated competency in working with relational databases and/or student information systems.
